Overview
The PostPilot post editor is a rich editing environment designed for crafting and refining social media posts. Whether you are polishing AI-generated content or creating a post from scratch, the editor provides all the tools you need in a clean, distraction-free interface.
The editor is built around a split-pane layout. The left side contains the editing controls for your caption, hashtags, and media, while the right side shows a live platform preview that updates as you type. The editor automatically adapts to the post's media type — feed posts and stories show a single image editor, carousels display a sortable slide grid, and reels present a video player with upload controls.
Every change you make is tracked by the editor's history system, so you can undo and redo edits freely. All changes are also auto-saved, so you never lose work even if you close the browser accidentally.
Opening the Editor
There are two primary ways to open the post editor. The first is from the organization dashboard: click any post card to open it in the editor. The second is from the content calendar: click any scheduled post on the calendar to edit it.
From the Organization Dashboard
Navigate to your organization dashboard and locate the post you want to edit. Each post card displays the caption preview, image thumbnail, and platform badge. Click the card or the “Edit” button to open the post in the full editor view.
From the Content Calendar
Open the content calendar from the organization navigation. Posts appear as colored blocks on the calendar. Click any post block to open a quick preview popover, then click “Edit Post” to launch the full editor.
Caption Editing
The caption editor is the central component of the post editor. It provides a rich text editing experience with support for line breaks, emoji insertion, and character counting. The editor displays a real-time character count that adjusts its limit based on the selected platform, helping you stay within each platform's constraints.
As you type, the platform preview on the right updates instantly to reflect your changes. This live preview renders your caption exactly as it would appear on the target platform, including line break handling, link previews, and text truncation behavior.
For AI-generated posts, the caption field is pre-filled with the generated copy. You can edit it freely, or click the “Regenerate Caption” button to ask the AI for a new variation while preserving the same topic and tone.
Hashtag Management
The hashtag management panel sits below the caption editor and gives you full control over the hashtags attached to your post. AI-generated posts come with a curated set of hashtags, but you can add, remove, or reorder them as needed.
To add a hashtag, type it into the input field and press Enter. The hashtag is validated to ensure correct formatting and deduplication. To remove a hashtag, click the “X” button on its tag chip. You can also drag hashtags to reorder them, which affects the order they appear in the published caption.
The “Suggest Hashtags” button uses AI to analyze your caption and recommend additional relevant hashtags. Suggestions are based on your caption content, current trending tags on the target platform, and your brand profile. Click any suggestion to add it to your post.
Image Swap
Every AI-generated post includes a custom image, but you are not locked into the first result. The image swap feature lets you replace the current image with a new AI-generated alternative or upload your own image.
To regenerate an AI image, click the “Swap Image” button below the image preview. PostPilot generates a fresh image that matches the updated copy. The previous image is stored in the swap history so you can revert to it if you prefer the original.
To upload a custom image, click “Upload Image” and select a file from your device. Supported formats include JPEG, PNG, and WebP. PostPilot automatically resizes and optimizes uploaded images for each target platform's recommended dimensions.
Carousel Editor
When editing a carousel post, the standard image editor is replaced with a dedicated carousel editor. This specialized interface displays all slides in a sortable grid, giving you complete control over the visual flow of your carousel.
View and Browse Slides
All carousel slides are displayed as thumbnail cards in a grid layout. Each card shows the slide image and its position number. Click any slide to view it at full size in the preview panel.
Reorder Slides
Drag and drop slides to rearrange their order. The first slide is what users see in their feed, so place your strongest visual first to maximize engagement.
Add or Remove Slides
Click “Add Slide” to upload a new image to the carousel. Click the remove button on any slide to delete it. Carousels must contain between 2 and 10 slides — the editor enforces these limits.
Replace Individual Slides
To swap a single slide image, click on the slide and use the upload button to replace it with a new image. The slide position is preserved.
Video Editor
Reel posts use a dedicated video editor that replaces the standard image controls. The video editor provides a built-in player with playback controls, upload functionality, and a duration display.
Preview Your Video
The video editor displays your reel in a 9:16 aspect ratio player with standard playback controls. You can play, pause, and scrub through the video to review the content before publishing.
Replace the Video
Click “Upload Video” to replace the current video with a new file. Supported formats are MP4, MOV, and WebM, with a maximum file size of 100 MB.
Platform Preview
The platform preview occupies the right side of the editor and shows exactly how your post will look when published. The preview faithfully reproduces the visual style of each platform, including profile picture placement, username display, caption formatting, and media rendering.
The preview adapts to each media type. Carousel posts show navigation dots and left/right arrows so you can browse slides. Story posts display in a vertical 9:16 frame with a gradient story ring. Reel posts show a video player with a play button overlay. Feed posts display the standard image preview.
The preview updates in real time as you edit. Caption changes, hashtag additions, image swaps, slide reordering, and video replacements are all reflected immediately. This tight feedback loop minimizes the need for post-publish corrections.
Undo & Redo
The post editor maintains a complete history of your edits during each editing session. Every change to the caption, hashtags, or image creates a new entry in the history stack, allowing you to step backward and forward through your changes.
Use the undo button in the editor toolbar or press Ctrl+Z (or Cmd+Z on macOS) to undo the last change. To redo, click the redo button or press Ctrl+Shift+Z (or Cmd+Shift+Z).
The history tracks granular changes, not just keystrokes. For example, a hashtag addition counts as one history entry, and an image swap counts as another. This makes it easy to revert specific actions without losing unrelated edits.
Auto-Save
PostPilot auto-saves your work every few seconds while you edit. A small status indicator in the editor toolbar shows the save state: “Saving...” while a save is in progress and “Saved” once the latest changes are persisted.
Auto-save writes directly to the database, so your changes are preserved even if you close the browser, lose your internet connection, or navigate away from the editor. When you return to a post, you will always see your most recent edits.
If you want to discard all changes and revert to the last published or generated version, use the “Revert to Original” option in the editor menu. This resets the caption, hashtags, and image to their initial state.
